1. Bookings

A booking is confirmed once we receive your deposit and send you a written confirmation. By booking, you agree to these terms and conditions. All bookings are subject to availability.

2. Pricing & Payments

All prices are listed in AUD per person unless otherwise stated. Prices include everything specified on the relevant trek page. A non-refundable deposit of $500 AUD per person is required to secure your booking, payable online via our secure checkout (powered by Stripe). The remaining balance is due 60 days before your departure date. We accept credit card, debit card, Apple Pay, and Google Pay.

3. Cancellation Policy

  • More than 60 days before departure: full refund minus $500 deposit
  • 30-60 days before departure: 50% refund
  • Less than 30 days before departure: no refund
  • No-show: no refund

We strongly recommend purchasing comprehensive travel insurance to cover cancellation costs.

4. Travel Insurance

Travel insurance is mandatory for all trekkers. Your policy must cover trekking at altitude (minimum coverage to the highest elevation of your chosen trek), emergency helicopter evacuation, trip cancellation, and medical expenses. We may request proof of insurance before your departure.

5. Health & Fitness

Trekking at altitude is physically demanding. You are responsible for ensuring you are fit enough for your chosen trek. We recommend consulting your doctor before booking, particularly for treks above 4,000m. We reserve the right to remove a participant from a trek if their health or behaviour poses a risk to themselves or the group.

6. Itinerary Changes

We reserve the right to modify itineraries due to weather, trail conditions, safety concerns, or other circumstances beyond our control. If significant changes are necessary, we will do our best to provide a comparable alternative. No refund is provided for itinerary changes caused by weather or safety decisions.

7. Liability

Mate in the Mountains acts as an organiser and booking agent. On-the-ground trekking services are provided by our local operating partners. While we take every reasonable step to ensure safety and quality, we cannot be held liable for injury, illness, loss, or damage arising from circumstances beyond our reasonable control, including but not limited to natural disasters, political unrest, flight cancellations, or individual health conditions.

8. Visas & Documents

You are responsible for obtaining the correct visa and travel documents for your destination. We provide guidance on visa requirements but cannot be held responsible if you are denied entry due to incorrect documentation.

9. Governing Law

These terms are governed by the laws of the State of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
